PROPERTY MANAGEMENT ASSISTANT

The Property Management Assistant provides administrative, operational (facilities) and customer (tenants) support within the Offices department of Cofinimmo in Belgium.

Function

The Property Management Assistant provides administrative, operational (facilities) and customer (tenants) support within the Offices department of Cofinimmo in Belgium.

Responsibilities

  • Close collaboration with the Property Managers and assisting in agenda, planning, phone
    calls, meetings, preparation of various files
  • Close contact with various internal departments: service desk, commercial, legal, accounting
  • Single Point of Contact, together with the Property Manager, for clients and service providers
  • Preparation and follow up of purchase orders and sales files (in SAP)
  • Follow-up of orders, invoicing in SAP, and workflows in our internal systems like Workinimmo
  • Monitor the agreements’ validity and leaseholder’s obligations
  • Maintenance of management files & analytical databases
  • Administrative support and follow-up of legal files
  • Follow up the rent increases and indexation
  • Follow up of complaints in collaboration with our Service Desk
  • Proactive collaboration on improvement of our services (both internal and external)

Profile

Hard skills

  • Bachelor/Master in economics, real estate or facility management
  • Preferably experience in management support, and/or motivation to build a career in property management
  • Basic legal knowledge and knowledge of insurances, leases, contracting,…
  • IT-literacy: hands-on with different IT tools (SAP, Noveco, Autocad, Workinimmo, Jool, Cofidoc, cTools, Sharepoint, governmental IT platforms,…), you will receive user training
  • Proficiency in Dutch and English (C-level), good knowledge of French or any other language is an asset
  • MS OFFICE: Word / Excel /PowerPoint /Outlook
